Insurance agencies & MGAs

Built inside a working agency. For yours.

The founder runs an independent agency and an MGA. The systems below were built there first, measured there first, and only then offered to anyone else.

  • Agency management systems
  • Nexsure
  • Keap and other CRMs
  • Microsoft 365 mailboxes
  • Phone systems and call recordings
  • Carrier portals
  • Canopy Connect
What we build

Problem first. Status honest.

Each line says whether we have built and measured it in our own agency, run it as a pilot, or would build it for you. We never present the last group as results.

Service and admin automation

AreaThe problemWhat we buildOur status
Certificates of insuranceCertificates hold up a client’s job site, and every manual one interrupts someone.Turnaround and rework measured around the certificate tool you already use.Measured
Quote intakeProspects re-keyed from forms and emails into the agency system.Intake written into the agency system end to end and read back to confirm.Built · paused
Shared inboxThe service mailbox eats a morning before real work starts.Sorting, flagging and filing drafts, with a person approving what gets filed.Built · paused
Missed callsA missed caller often buys from whoever answers next.Missed-call reporting and an AI receptionist that rings a person first, then texts back.Pilot
Carrier appetiteSubmissions bounce because nobody remembered the guideline.A searchable guideline assistant that cites the page it used.We build this

Call review and coaching

AreaThe problemWhat we buildOur status
Calls and coachingCoaching by anecdote; a manager hears a handful of calls.A weekly audit per person: recorded calls transcribed and scored against that person’s own script, with coaching drafted for the manager to edit and send.Running

Lead capture and follow-up

AreaThe problemWhat we buildOur status
New leadsWeb and ad leads wait until someone notices them. Each lead lands in the CRM with an owner, a task and an instant alert to the person who calls back.Running
CRM follow-upDial lists that never get shorter; leads called twice or never.Call outcomes that act on the CRM: tags, stages, and contacts leaving the lists once worked.Running

Renewals, retention and cross-sell

AreaThe problemWhat we buildOur status
Weekly book boardThe owner cannot see the book moving until the month closes.New, lost and renewing business by carrier, line and client, rebuilt every week.Running
RenewalsRenewals reviewed late, or not at all, are how a book shrinks quietly.A renewal worklist that sorts every term into re-shop, review, accept or chase, well before it renews.Built · paused
Retention by householdYou find out a household left when the renewal does not come back.Retention by policy, household and year over year, with an at-risk list.We build this
Cross-sellMonoline households nobody asks about the next policy.A household view with a next-best-policy list for producers. We build this

Adding life insurance

The founder also runs a life insurance agency and, in the states where it is licensed, partners with P&C agencies that want to offer life insurance to the households they already insure. That is a different business, licensed separately; one short owner-to-owner call can cover both the AI work and the life side. Book a 20-minute agency-owner intro.

From the case study

Certificates: a tool we chose, then measured.

We rebuilt 12,108 emails into 621 certificate requests. Requests handled by the tool had a median of 6 minutes from request to certificate, against 42 minutes on the manual path, and 1.1% needed rework, against 5.8%.

The certificate tool is a vendor's. The measurement is ours, and it is what we bring to your agency. The manual path includes the unusual requests the tool does not handle, so this is not a like-for-like speed test. Read the agency case study.

Our agency also uses an outside AI vendor for its main phone line and its certificates. That vendor publishes its own figures for our agency; we report only what we measured ourselves.

What AI never does in an agency we build for
  • Present a price to a client, bind or change coverage
  • Give coverage advice to a client
  • Send a message whose wording a person has not approved
  • Use one client's data for another purpose
Questions agency owners ask

Straight answers.

Can AI work with our agency management system?

Yes, and it does not need to replace it. We connect through whatever your system allows, from a proper API to a reconciled export. We have written records into an agency system end to end.

Will AI quote, bind or give coverage advice?

AI can run a rate for a licensed person to review. It never presents a price to a client, binds, changes coverage or gives advice: a licensed person does.

What do you need from us to start?

A conversation about where time and money go, then read-only access to the data that shows it: an export, a mailbox, a call log.

Is our client data used for anything else?

No. It is used only for your engagement, and our standard is that it stays in accounts you own. It is never given to any insurance business for its own use, including the founder’s agency, and never used to sell you insurance.

Do you work with agencies outside Illinois?

Yes. The work is remote, and our own agency is in Illinois, where the systems were built first.

Do you train our team and support it afterwards?

Yes. Every deployment includes training for the people who use it and written runbooks. Monitoring, maintenance and a monthly report are a monthly plan.
