Operations Brain
One place for everything your business knows.
AI is only as useful as what it can see and what it is allowed to do. The Operations Brain is the layer that gives it both, safely, and gives your people the same view.
Six layers, built in this order.
Knowledge and data come first, because an agent with no rules and no reliable data is a liability. Agents come last.
Knowledge
Your procedures, carrier and customer rules, and how-to notes, written once and kept current, with each rule traceable to where it came from.
Data
Read connections into the systems you already run: agency system or TMS, CRM, mailboxes, phone logs, telematics, fuel cards, accounting exports.
Rules
What may happen automatically, what needs a person, and what never happens at all. Written down, enforced in code, and reviewed with you.
Jobs
Scheduled work that runs whether anyone remembers or not: reports, queue checks, reconciliations, drafts waiting for approval.
Boards
One weekly view per role: owner, manager, service, dispatch. Exceptions first, and every number links back to where it came from.
Agents
Specialists on top of the layers above, each with an Agent Card that says what it may read, what it may do, and when it must ask.
The reference build
The founder's agency runs on one.
Before we offered this to anyone, we built it for our own independent agency and MGA, where it runs every working day.
It holds 170 written playbooks that the system follows, 19 cloud services we built and run, and 70 scheduled jobs on the operations machine. Its rules decide what may run unattended, what must be approved by a person, and what may never happen at all, such as sending a client email nobody has read.
Counts measured on the operations machine, October 2026. Some jobs are paused while that machine is replaced; we say so rather than count them as running.
How we measure it for you
- Questions answered from a source, not from memory
- Time from a new rule to every job following it
- Jobs that ran on schedule, and the ones that did not
- Actions approved, changed or refused by a person
